CONSTITUTION OF ­­­­ UCSI UNIVERSITY _______________ Association

 

ARTICLE I                      Name of Organization

  1. The organization shall be known as UCSI University _______________ Association.

 

ARTICLE II                   Purpose of the Organization

ARTICLE III                Membership

1.      All students enrolled at the University, as defined by the Office of Registrar, can become members of the UCSI University __________________ Association.

 

 

ARTICLE IV                Officers and Election

  1. Chairperson and Vice Chairperson

a)      The Chairperson and Vice Chairperson shall be voted by the members of the UCSI University _______________ Association.

b)      The Chairperson must be a registered full-time students of the University for the immediate past three (3) semesters, as so defined by the Office of Registrar.

c)      They must not have been on scholastic or disciplinary probation, as so recorded by the Office of the Registrar, in the previous semester up until the point of appointment

d)      The candidates need to be registered students for the entire term of office (one year).

e)      In the event the Chairperson resigns, is impeached, or otherwise incapacitated during his/her term of office, the Vice Chairperson will assume the role of the Chairperson (no election needed).

f)       In the event both Chairperson and Vice Chairperson resigns, are impeached or otherwise incapacitated during their term of office, the members will convene to appoint an interim-Chairperson.

 

  1. Secretary and Treasurer

a)      They shall be appointed by the Chairperson and Vice Chairperson of the UCSI University _______________ Association.

b)      They must not have been on scholastic or disciplinary probation, as so recorded by the Office of the Registrar, in the previous semester up until the point of appointment

c)      They shall be removed from the position with a requirement of a two third majority (2/3) of the members.

 

  1. Board of Directors

a)      Board of Directors will be appointed by the members of the UCSI University _______________ Association.

b)      They must not have been on scholastic or disciplinary probation, as so recorded by the Office of the Registrar, in the previous semester up until the point of appointment

 

 

ARTICLE V                   Duties of the Officers

 

  1. Chairperson

a)      He/she is to lead the UCSI University _______________ Association.

b)      He/she is responsible for the actions of the UCSI University _______________ Association.

c)      He/she acts as the liaison between the UCSI University _______________ Association and their advisor, Student Council or the University Management.

d)      He/she represents the club should the club need to send a representative to any event.

 

  1. Vice Chairperson

a)      He/she is to assist the Chairperson in any way possible in regards to the functioning of the UCSI University _______________ Association.

b)      He/she is to take over the duties of the Chairperson in the absence of the Chairperson.

c)      He/she is to carry out the responsibilities of the Chairperson in the event of disability, resignation or impeachment of the Chairperson.

d)      He/she is to take on the task of enforcing the discipline of members of the Board of Directors.

e)      He/she is to ensure coordination and integration among the members of the Board of Directors.

 

  1. Secretary

a)      He/she is to assist the Chairperson and Vice Chairperson in preparing the agenda of meetings.

b)      He/she is to prepare a special report for any major activities carried out.

c)      He/she is in charge of all paper work and is the key person in the keeping of records.

d)      He/she is to maintain a record of attendance of all UCSI University _______________ Association meetings.

e)      He/she is to communicate all official information to all members.

f)       He/she is to be responsible for all correspondence of the UCSI University _______________ as assigned by the Chairperson or Vice Chairperson.

g)      He/she is to prepare and distribute the minutes and proceedings of all of the UCSI University _______________ Association meetings.

h)      He/she is to maintain and preserve all minutes of meetings.

 

 

  1. Treasurer

a)      He/she is to keep records of the flow of the UCSI University _______________ Association funds.

b)      He/she is to prepare an annually financial report per year, which will be reported directly to the UCSI University _______________ Association.

c)      He/she is to be responsible for all funds under the UCSI University _______________ Association.

d)      He/she is to present a financial report (with all receipts) to Student Council and Student Affairs and Alumni Division at the end of each year for audit.

 

  1. Board of Directors

a)      Represent the expressed wishes of the majority of the UCSI University _______________ Association members in a fair and impartial manner.

b)      Their function and term of service shall be determined by the Chairperson at the time of appointment – only during the term of the Chairperson and Vice Chairperson.

c)      They are to represent the club when appointed by the Chairperson in any events the Chairperson or Vice Chairperson are not able to attend.

 

ARTICLE VI                General Meetings

 

  1. The members shall meet at least once a month.
  2. The Chairperson will determine the date and the time of meetings.
  3. The Secretary, on behalf of the Chairperson shall prepare the agenda of the meetings and notify all members of the meeting.
  4. Notification to the members must be of at least 48 hours in advance of the meeting.
  5. For a meeting to be legitimate a quorum of 50% plus one (1) of the full membership is required.

 

ARTICLE VII             Decision Making

1.      A standard decision making during a meeting requires a simple majority of the members present.

 

ARTICLE VIII           Finances

  1. A Financial Report shall be submitted to Student Affairs and Alumni Division after every project that involved Finance.

 

ARTICLE IX                Suspension and/or removal of members

  1. Any member placed on the academic probation by the University may be removed from his/her member position at the discretion of the Chairperson and the Organizations Advisor.
  2. Any member placed on disciplinary sanction by the University will be removed from his/her member position.

 

ARTICLE X                   Amendments

1.      Amendments to the Constitution will require a two third majority (2/3) of the members.

 

ARTICLE XI                Rules and Regulations

 

  1. Written amendments and rules and regulations shall be submitted to the board for its review and approval. 
  2. Upon approval of the board, the amendment shall be read at the next general meeting of the club and once approved the Rules and Regulation shall be updated with a copy of the updated version of the amendment.
  3. Approval of the amendment shall be by 2/3 majority of the members present. No proxy votes shall be allowed.

 

ARTICLE XII             Election Procedure

  1. Elections of the board shall be at the beginning of the May Semester every year.
  2. Elections of the board shall be within the Club, chaired by the last Chairperson and Board of Directors, and it must be notified to the Judiciary Branch of the Student Council.
  3. Elected candidates shall report themselves to the Student Council and present a list containing the new board of the Club and its Board of Directors.
